Answersheet is a RAD based online testing tool.

The Answersheet Editor allows you to create Answer sheets to a list of questions that will be provided in a separate FirstClass document.

Alternately, you can supply the question text and present a self-contained test.

Supported question types include Multi-choice and Short Answer.

The Editor tool is where test owners create their Answer sheets, and mange the responses from.

The Answersheet Player allows you to submit answers to a list of questions that will be provided in a separate FirstClass document. Alternately, the questions may be supplied along with the answers to provide a self-contained test environment.



Answersheet Requirements

For the best results, Answersheet should be installed on a FirstClass 7.1 SP3 server with RAD 2.50 Build 2376.



Installing Answersheet

The Answersheet Installer will copy all the necessary application files and form/icon resources into your FirstClass Post Office for you.

After installation and a restart of the FirstClass Server, the Answersheet application will be available from the Built Applications folder inside the FirstClass RAD Folder located on the Admin Desktop. The Answersheet User Reference (this document) will be available in the Online Books section of the Online Help system.

The install process adds all of the required FirstClass Settings File Resources to your Language Resources file in the Multi-site Setup\Resource Registry Folder so that they are sent to your users automatically as needed (refer to the section on Priming your Settings file for more information).



Registering Answersheet

When you register Answersheet, you will receive a 18 digit Registration Key to activate the licencing you have purchased. Keys are tied to a specific Server Serial Number. Refer to the section on Administering Answersheet for instructions on how to apply your Registration Key.

Answersheet is available in various licence combinations - visit www.myaddons.com to find the current licence options. Licence numbers refer to the number of concurrent users allowed to access Answersheet (Player or Editor) at the same time. e.g.
You have purchased Answersheet Class, which gives you 30 concurrent Answersheet users. Three staff members are creating Answersheets, one staff member is marking an Answersheet and 26 students are taking a test. Another student comes along and tries to start a test. The student will receive the following message, informing them that they are unable to take the test at the moment as all the licences are in use:

By default, the unregistered version of Answersheet comes with 2 free user licences - called Answersheet Lite.



Requesting An Evaluation Licence

Answersheet comes with 2 free licences, so an evaluation licence won't generally be required, unless scalability tests are needed. Evaluation licences allow up to 100 concurrent users to use Answersheet for 30 days and can be requested from www.myaddons.com.


Online Help

During the installation process, Answersheet help was added to the FirstClass Online Help area. To access the Online Help, use your computers Help key (i.e. F1 on a Windows PC) to bring up the help for the currently active screen e.g.
Pressing F1 with the Answersheet Editor - Edit Answersheet screen open will bring up the appropriate help information for editing Answersheets.



The Answersheet Editor

The Answersheet Editor allows you to create Answer sheets to a list of questions that will be provided in a separate FirstClass document. Alternately, you can supply the question text in the self-contained Navigator window. The Editor tool is where test owners create their Answer sheets, make them available for taking,  and manage the responses from test takers.

The main Window lists all the tests that are available to you; while the toolbar to the right provides a range of options that can be performed on the available tests

The currently selected Answersheet will appear underlined.


For each Answersheet, the sheet name and id number are shown, along with one of four possible icons showing the status of the Answersheet:

31072002_35851_0.pngA group of people indicates that you don't own the Answersheet, but have been given Editor access to it.

                31072002_35752_2.pngA green background indicates that the Answersheet is currently active i.e. available to be taken

If, as an Editor, you make a change to an Answersheet, you automatically become the Owner.



Menu Options
Depending on your privileges, a range of menu options will be available for you to choose from:

Add             Brings up the New Answersheet dialog box, and allows you to create a new Answersheet

Edit            Opens the currently highlighted Answersheet for editing. You can also double-click on any Answersheet in the list to open it for editing.

Delete  A dialog box will allow you to either delete the entire Answersheet and all submissions to date, or, just the submitted answers to date.

Copy            Create a copy of the selected Answersheet and all of its' questions. The new Answersheet will have the same name of the original Answersheet preceded by Copy:

16072002_33057_2.pngPublish Create a stationary link to the Answersheet on your desktop. You can then move the created stationary item to the appropriate folder or conference and protect it The test takers can then use the stationary item to open the specified Answersheet. Stationary items created this way require a unique name, so only one stationary item can exist on your desktop at any one time. You will get a confirmation dialog box if the stationary item was created successfully. If you hold down the SHIFT key while pressing this button, then the users settings file will be "Primed" before the Answers are loaded onto the form. Refer to the note on priming your settings file below for more information.

Preview Allows you to take the test without recording your response so that you can check everything is working just right.

Mark            Brings up the Marking form where you can review individual submissions on line, and allocate marks to Short Answer questions

Unlock  When you are editing an Answersheet, it is locked so that no other users can come in and overwrite your changes. If you exit the Answersheet Editor abnormally, the Answersheet may remain locked off to all users. Use the Unlock button to make it available again.

Exit            Closes the Answersheet Editor

About           Displays information about the application, including the version number

Admin   If you are a designated Answersheet administrator, you will have the Admin menu. The Admin option will take you into the General Administration screen.



Priming Your Settings File
As you probably know, if you open a form in FirstClass, the client will try to load it from the Settings File that you are using. If there isn't already a copy of the needed form stored locally, the client will ask the server to send it a copy, for use now, and to store for use in the future.

RAD applications are no different, in that the application screens you see and interact with, are just FirstClass forms. However, depending on the version of FirstClass you are using, and the speed of the connection you have back to the server, Answersheet may try and "populate" the Answersheet form before the client has received it from the server - causing confusion! This will only happen the first time (per settings file), as the client saves the received form locally for future use.

To help avoid this problem, Answersheet has a feature called "Priming". To select priming for an Answersheet, hold down the SHIFT key when you use the Publish feature to create the Answersheet stationary item on your desktop.

When a primed Answersheet is run, it displays the blank Answersheet form for about 2 seconds. This gives the client time to completely receive the form from the server. Over the next 6 to 8 seconds, each of the icons used by Answersheet is displayed one at a time, approximately a second apart from each other. At the end of the priming process, the form is closed, and reopened, with the answers for the Answersheet.




Editing an Answersheet

The Editor screen allows you to set the general conditions and rules for your Answersheet, as well as go on to create and manage the questions that will appear.

The current Author (referred to as Owner) of the Answersheet is displayed at the top of the form, as is the title of the Answersheet.

If, as an Editor, you make a change to an Answersheet, you automatically become the owner.

Whatever is entered in the title field for the answer sheet will be used to refer to the Answersheet both in the Editor, and the Player.

The title of the Answersheet can be changed at any time.



General
Test can be paused and resumed at a later time
If this option is ticked, the Answersheet taker (referred to as taker from here on in) can chose to cancel out of the Answersheet at any time, and save the answers they have entered to date.

When they later come back to finish the test, the answers from the previous incomplete attempt will be loaded for them to resume from where they left of.

If the test is time limited, the time elapsed will be recorded as well, and they will resume with the same amount of time remaining as when they canceled the saved attempt e.g. if 2 minutes into a 5 minute test, the taker decides to stop, and they save their attempt, when they come back to finish they will only have 3 minutes left to complete the test in - not the full 5 minutes.

Number of Attempts
The following options are available from the drop-down list:
Test can only be taken once     
Users are only allowed to submit one response to this Answersheet

Multiple attempts allowed - all submissions kept        
The user can set the test as many times as they like, and all of their attempts will be recorded and available for marking.

Multiple attempts allowed - only highest score kept     
The user can set the test as many times as they like, but only the attempt with the highest score will be recorded.

Suppress confirmation dialogs in Editor mode
If ticked, changes made to the Answersheet will automatically be saved without asking for confirmation. Likewise, questions can be deleted without be prompted to confirm this is what you wanted to do. Ticking this option speeds up the editing process, and is only recommended once you are familiar with the Answersheet Editor.

Auto-open question document
You can include a path to a FirstClass document containing the questions for this Answersheet, and the Answersheet Player will automatically open the document at run time.  The path needs to be relative to the test takers desktop. The forward slash (/) character is the path separator e.g.
        Science Resources/Module One/Test One

Client Presentation Mode
There are three different client interfaces available in Answersheet
Answersheet Only (legacy)
This is the way Answersheet has always worked. A form containing all the possible answers for each user is presented to the taker. It is assumed the questions themselves have been supplied independantly e.g. in a FirstClass document, on a hand-out etc.
Answersheet with Questions
As well as the answer form, a seperate guide window is displayed to the user. As well as duplicating the controls available on the main form, any question text that was entered for the question is also displayed. This is a good way to provide additional/supplementary information to the taker e.g.

Question and Answer Navigator
Instead of the traditional answer sheet, the taker is presented with a self-contained test window - where the question and answer are both displayed e.g.

Answersheet Icon
The icon to display on the Answersheet can be user selected. Click on the icon to select from the available icons. To add your own icons, simply add them to the appropriate language resource file in the Resource Registry.

Date Limits
If the This Answersheet is Date limited option is checked, the Answersheet will only be available for taking between the specified start and end date and times.

Time Limits
The number of minutes allowed to complete the Answersheet. If an Answersheet is time limited, the time allowed will start from when the Answersheet is displayed. The time remaining is displayed in the Answersheet Title bar, and displays the number of minutes left. A second countdown displays when the time remaining gets down to 30 seconds.

Auto submission when time runs out
When selected on a time limited Answersheet, the takers answers will automatically be submitted for marking - even if they are incomplete. If not ticked, the taker will be given the option of discarding the answers they have entered, or submitting them. Auto-submit Answersheets can be identified by an Asterisk (*) in the Answersheet Title bar e.g.

Reporting

Level of Reporting
The amount of feedback given to the test taker after their answers have been submitted

No feedback             the test taker doesn't get either marking or points scored.
Marking Only            the test taker is shown whether they got the question right, partially right or wrong. No points are shown.
Marking and Points      the test taker is shown whether they got the question right, partially right or wrong. The points scored for each question are also shown.

Notify Owner as Answersheets are submitted
If ticked, the owner of the Answersheet will receive a notification e-mail in their mailbox each time a completed Answersheet is submitted.

Send Notification to this Conference
If a valid conference name is entered in this field, a notification e-mail will be sent to the conference each time a completed Answersheet is submitted, in addition to any owner notification.



Takers

You can restrict who can take each Answersheet by Privilege Group. Only members of the selected (ticked) groups will be able to access the Answersheet. Double-click on the desired group from the list to select/deselect it.

Proctor Password
Answersheets can be password protected for remote assessment purposes. The password will be required before the taker can proceed.



Editors

You can allow groups of other users to edit your Answersheet by selecting the desired groups from the list. Double-click on the desired group from the list to select/deselect it.

A Note About Editors
When a user makes and saves a change to an Answersheet, they become the current owner (Author). The original creator of the Answersheet is maintained in the database, and is displayed in the reports, along with the current owner.



Instructions

When selected, the entered instructions are displayed to the taker before they have access to the Answersheet.

Exit            
                Save the changes made to the options for this sheet.
Cancel  Discard any changes made to the sheet options.
Edit Questions  
                Opens the Question Editor form where you can add, edit and delete the questions for this Answersheet.
                Note: If there are submitted answers to this Answersheet, this option will be unavailable (i.e. you can't modify the questions) until the submitted results are deleted using the Delete Answers option.
Delete Answers
                Allows you to permenantly delete all of the Answers that have been submitted against this Answersheet to date. You will need to do this if you want to Edit the questions.
Extract Mark
                Exports all of the submitted results in a comma delimited (.CSV) file to enable further analysis. The Mark awarded is included e.g.

Extract Answer
                Exports all of the submitted results in a comma delimited (.CSV) file to enable further analysis. Instead of the Mark that was awarded, the submitted answer is exported.

                Generates a report in Rich Text Format (.RTF) that includes the average, maximum and minimum scores of the submitted sheets, as well as a list of all submitted responses e.g.

                A large Report or Extract request may take a few minutes. The progress indicator at the top of the form lets you know how far through the request Answersheet is, and assures you the program is still doing something!



Editing Answersheet Questions

Selecting the Questions button from the Answersheet Editor screen will take you into the Question Editor (assuming there are no submitted results for the Answersheet - otherwise these need to be deleted before you can modify the questions):

The top half of the form shows information about the currently selected question. The available questions are listed in the bottom half of the form.

The 23072002_34228_1.png icon indicates which question is currently being edited. The question number is also displayed in the Current Question box in the Question Editor

To select a question for editing, click on it from the list.


Question Editor

The Question Editor allows you to Add, Edit and Delete the questions.

Add                     Click on the 23072002_34411_4.png button to add a new question. The new question is automatically added to the end of the existing list of questions, and is assigned the currently selected Question Type.

Delete          Click on the 20102003_100220_9.png 23072002_35001_0.png button to delete the currently selected question. If you have ticked Suppress confirmation dialogs in Editor mode on the General tab for this Answersheet, then the question will be deleted without confirmation - so make sure you have selected the right question first! Otherwise, you will be asked to confirm that you really want to delete the question.

Reorder         Click on the 20102003_100329_10.png button to swap the order of the currently selected question, or insert it at a different point. See the not on Reordering Questions below for an example.

Renumber                Reset the display numbering back to match the actual question numbering e.g.

Save                    Save all the changes made to the questions since the last time you saved. Changes are not written to disk as you make them. You can press Save as often as you like throughout the editing process.

Exit                    Close the question Editor Window. If there are unsaved changes, you will be prompted to confirm that you really want to discard them.

Total Questions Displays the number of questions in this Answersheet

Current Question        Displays the number of the question currently being edited. This can also be used to implement an alternate numbering system for the questions. See Alternate Numbering below for more information.





Question Types

23072002_35658_0.pngIf you select Multi-choice from the type list, you can then also select the type of multi-choice question from the sub-type list.

Use one of the pre-defined types, or create your own.

When you u Add a new question, it is automatically created as the type and sub-type selected in these lists e.g.

If you have 23072002_40159_0.png selected and click on 23072002_40303_1.png then a new True/False Multi-choice question will be added to the end of the question list.

Question Text
Unlike previous versions of Answersheet, the actual question itself can now be included with the test. The text may be displayed to the taker in a number of different ways - depending on the Client Presentation Mode chosen for this test.

Multi-choice Questions
When creating a multi-choice question, you put the desired option in the text box, one per line (press Enter between each option) and add the number of marks the option is worth after an equals sign e.g. for a True/False type question where the correct answer is True, and is worth one mark, the following would be required:

You can either enter it manually by selecting User-defined from the sub-type list and entering the list options, or have it generated automatically by selecting True/False from the sub-type list. You can then edit the generated options (maybe the question is worth two marks - change the 1 to a 2), and the question sub-type will change to User-defined.

You can add as many choices as you want (within the 255 character limit), and make them worth different marks e.g.
You want a list with the following options:
Lawn Mower, Weed Trimmer, Chainsaw and Shovel. The question is worth 5 marks, and the correct answer is either Lawn Mower or Weed Trimmer. Shovel is worth 1 mark but the taker will lose a mark if they select Chainsaw. You would enter the following:

If you don't follow the option with an equals sign and a value, it will be worth 0 marks e.g.
                True=1
                False

        Automatically becomes:
                True=1
                False=0

Other- Multi-choice Questions
You may want to give the test taker the chance to enter their own answer. This is possible by using Other- as the option description e.g.

Note: The "-" at the end of the word Other e.g. "Other-" is mandetory for this feature to be activated.


Short Answer Questions
Answersheet also accepts Short Answer type questions. Instead of putting options in the Editor text box,you enter the number of marks the question is worth e.g.
        for a Short Answer Question worth 5 marks:

When the Answersheet Taker selects a Short Answer type question, they will get the Short Answer Entry box, where they can type in free-form text:

Short Answer questions cannot be automatically marked, you need to manually assign a mark to the takers response, from the Marking screen.

You can create Short Answer questions and not assign any marks to them. You may want somewhere for the Taker to provide feedback, leave notes for the marker etc etc.



Alternate Numbering
Question numbers are automatically assigned incrementally. However, you may have your own number scheme in your question document that you want the answers to match up to.

You'll notice there are two columns under the Question number section of the listed questions. By default, these two columns will be the same:

However, you can assign a different question number by changing the entry in the Current Question box:

The text you enter in here will used to identify the question to the Answersheet Taker, and will be reflected in the second column in the list of questions:

Reordering Questions
You may need to rearrange the order of the questions in your Answersheet. To do this, select the question you want to move, and click on the 20102003_100329_10.png icon e.g.

After creating the above Answersheet, you realise the answer options you created for question 2c) ii actually belonged to question 2a).

        Select (by either clicking or double-clicking) question 2c) ii and press 20102003_100329_10.png

        Enter 4 in the dialog box and press 24072002_20331_2.png. The Answersheet will now look like:

The Yes/No option has been swapped to question 4, and the question 4 options swapped to question 8; without affecting your own custom numbering system.

Note            When reordering questions, use the ordinal question number that is automatically created by Answersheet, not the user-definable numbering used for displaying to the test taker.

If you had chosen to insert the question at position 4, rather than swapping question 8 with question 4, question 8 would have been inserted at position 4, moving all of the other questions down e.g.

Marking Submitted Responses

The Marking screen allows you to list all submissions to your Answersheet at a glance, look at the status of each submission, and allocate marks to any Short Answer type questions.

At a glance, you will see an alphabetical list of everyone who has submitted results for your Answersheet.

Name            The users name appears in the first column, and an icon next to the name indicates the status of that submission. The possibilities are:

Time            If the Answersheet is time restricted, the amount of time the user took to submit their response will be displayed in the this column.

Try             If the Answersheet is set to allow multiple submissions, then the attempt number will be listed here. If a user only has one submitted set of results, but the Try number is greater than 1, Multiple attempts allowed - only highest score kept has been selected in the Edit screen for this Answersheet.

Mark            The number of marks the user has scored.


Notify  
The 24072002_34248_1.png button allows you to send an email to each of the users who submitted answers, with there updated results. After you have marked the short answer questions, use the 24072002_34248_1.png button to have the results sent to each user. Aprogress window will appear, from which you can cancel the notification if you change your mind:

The email is the same as the one the user can send themselves once they have submitted their results, with the addition of the marks you have allocated for the short answers e.g.

Closes the Marking form and returns you to the Main Menu.


Allocating Marks
To select a submission - either to look at the answers the user selected, or to allocate marks to the short answer questions - double-click on the submission you would like to look at from the list. The user submission will be loaded for you to look at:

The question text for Short Answer and "Other-" type questions are displayed in the left hand pane, and the supplied answer in the right hand side.

To allocate a mark to a short answer question (they initially have the 24072002_40450_1.png icon next to them in the Status column) click on the question. The test takers response will be loaded into the right-hand text box at the top of the form, and the question text in the left-hand box.  "Other-" type multi-choice questions can also be marked from this screen.

Enter the mark you want to allocate in the 24072002_40705_2.png box. Clicking on another question, or tabbing off the Mark to Award box updates the mark and the icon will change to 21102003_100810_2.png, indicating that there are changes not yet written to disk.
When your ready to write the changes to disk, click on the 21102003_100348_1.png button.
The 21102003_100810_2.png icon will change to the icon appropriate  to the mark awarded i.e.

The maximum possible mark for each question is shown in the second column across, while the mark allocated to the user is shown in the last column.

If you allocate a mark greater than the maximum allowed, the maximum mark allowed will automatically be applied.


Navigating through the Submitted Responses

Important Note About Allocating Marks
If you specified [Link]Multiple attempts allowed - only highest score kept  under the Number of Attempts option on the General Sheet, it is important that you don't start allocating marks submitted Answersheet Short Answer questions while the test is still available for taking.

Marks allocated to Short Answers will be used in the calculation that checks to see if the current attempt scores more than any previous attempt. This may even make it impossible to score more than a previously submitted result, as the submitted score - which includes the allocated Short Answer marks - could be more than can be scored by getting every multi-choice question right.





Administering Answersheet

When Answersheet is first Installed, only the Administrator account has access to the Answersheet Admin area, from the 25072002_14934_1.png button on the Editor Main Menu.

The Administrator can grant a group or groups of users Admin rights, and they will then have the 25072002_14934_1.png button as well.

Who Can Administer Answersheet
Select the Groups of users who you want to give Admin rights to by double-clicking on them in the list. A tick will appear next to a selected Group.

To un-select a Group, double-click on it and the tick will disappear.

Selected Groups will have the Admin button on the Main Menu of the Answersheet Editor, and are able to change any of the options in this screen. The FirstClass Administrator account will always have Admin rights in Answersheet.



Date Format
Select the format that you would like dates (printed in reports) generated as.:

Registering Answersheet

When you register Answersheet, you will receive a 18 digit Registration Key to activate the licencing you have purchased. Keys are tied to a specific Server Serial Number. Paste the Registration Key into the Registration Code field, and click on the 25072002_20111_5.png button.

The type and number of licences you have purchased will be displayed in the lower part of the form.

Answersheet is available in various licence combinations - visit www.myaddons.com to find the current licence options.

Licence numbers refer to the number of concurrent users allowed to access Answersheet (Player or Editor) at the same time. e.g.
You have purchased Answersheet Class, which gives you 30 concurrent Answersheet users. Three staff members are creating Answersheets, one staff member is marking an Answersheet and 26 students are taking a test. Another student comes along and tries to start a test. The student will receive the following message, informing them that they are unable to take the test at the moment as all the licences are in use:

By default Answersheet comes with 2 free user licences - called Answersheet Lite.

Click on the 21102003_102543_6.png button to update the Global Settings file with the changes.



Evaluation Licences
Evaluation licences for Answersheet can be obtained from the website (www.myaddons.com) or by clicking on the Register button when the Registration Code field is empty. However, as Answersheet comes with 5 free licences, an evaluation licence won't generally be required, unless scalability tests are needed.

Evaluation licences allow up to 100 concurrent users to use Answersheet for 30 days. After the evaluation Registration Key has expired, you can remove it by clicking on the Register button, which will now say Remove.



Where are Global Settings Stored?
The Answersheet application stores the global settings in a different location to the Answersheets themselves. Settings are stored in the Answersheet.ini file, which is a FirstClass Document file that is created in the Settings Files folder in the FirstClass RAD folder (on the Admin Desktop by default) the first time Answersheet Editor is run.

You can actually edit this file directly to make changes to the global settings. The file consists of a series of key words and corresponding values:

KeyWord         Description



RegKey          The registration key to activate the licencing
AdminGroup              A comma delimited list of Privilege Groups that have Admin rights
DBVer           The current database level version.
                        Note: This shouldn't be changed unless requested to by myAddons support.
DateType                The currently selected date value (0 = European, 1 = North American, 2 = International and 3 = Long)
Delimiter               The ASCII value of the character to use as the delimiter when creating .CSV report files. By default this is set to 44 (,) for comma delimited files.
LockChoice              If set to 1, the user-defined multi-choice option will not be available.
Language                The default user-interface language. 0 = English, 1= Italian and 2 = Swedish.
Choice          The customisable list of default multi-choice combinations/options.
